Mandatory Instructions
  1. Organizers must submit the completed application form to the Secretary of IEEE Kazakhstan Section at least one week prior to the next Executive Committee meeting for consideration.
  2. All proposed chairpersons (General Chair, Conference Chair, Organizing Committee Chair, TPC Chair, Publication Chair, Track Chairs) must be IEEE Members in good standing.
  3. A list of IEEE professional members from the local organizing committee — including name, department, IEEE membership ID, and membership validity date — must be submitted.
  4. A scanned/soft copy of the license of a plagiarism-check software to be used for the event must be attached.
  5. IEEE Kazakhstan Section may provide technical co-sponsorship (without financial liability) or co-sponsorship with financial liability. An MOU must be signed between IEEE Kazakhstan Section and the event organizers prior to any sponsorship.
  6. The MOU is a prerequisite for non-IEEE entities to make an event an IEEE Event and to become eligible for publication on IEEE Xplore. It does not guarantee publication.
  7. Reduced registration fees must be provisioned for IEEE members. IEEE Life Members and Fellows should be charged the lowest possible fee or granted a waiver.
  8. The Event Organizing Committee Chair must submit a financial report (income and expenditure), verified and signed, within one month of the event's conclusion.
  9. IEEE Kazakhstan Section does not support travel grants to attend technical events.
  10. All committee names and members listed must have given written consent to participate.
  11. Tutorials by renowned IEEE experts are encouraged. If planned, provide details on number, format (full / half day), topics, and speaker information.
Mandatory Pre-Submission Checklist

All items below are reviewed by the Secretary as part of the eligibility check.

  1. Gap between application date and the event date is at least 12 months.
  2. Event URL is functional with full information at the time of application.
  3. All proposed chairpersons of different committees are IEEE Members in good standing.
  4. Detailed resumes of the General Chair, Conference Chair, Organizing Committee Chair, TPC Chair, Publication Chair, and Track Chairs are attached.
  5. List of IEEE professional members from the organizing institute (name, membership no., validity date) is attached.
  6. Scanned/soft copy of the plagiarism-check software license is attached.
  7. For series conferences: proceedings of the previous edition have been published on IEEE Xplore.
  8. For series conferences: all fees/dues of IEEE Kazakhstan Section have been cleared.
  9. For series conferences: observers' report of the previous edition has been submitted.
  10. Applicant agrees to the instructions, guidelines, and MoU of IEEE Kazakhstan Section.
  11. Applicant has read and accepts the conference policies of IEEE and IEEE Kazakhstan Section, and agrees to honour all financial requirements including TCS fees and IEEE KZ Section fees.
  12. Applicant agrees to fill the online application on the IEEE / IEEE MCE website only after receiving written/email approval from IEEE Kazakhstan Section.
